We are seeking enthusiastic, experienced, and highly motivated individuals to join our team in the following position:

Position Title : Finance Assistant

Location : Yogyakarta

Contract Duration : 12 months with possibility of extension

Anticipated start date : As soon as possible

Salary : ASB offers a competitive salary package commensurate with experience

POSITION SUMMARY:

The Finance Assistant plays an important role in processing payments, both through bank transactions and cash, ensuring that all payments are supported by necessary documentation, recorded, and documented in both soft copy and hardcopy formats. Serve under the direction of the Finance Coordinator to process and properly document all daily finance transactions efficiently maintaining the highest standards of accuracy and timeliness in compliance with Indonesian government regulations, ASB regulations, and donor regulations.

Duties & Essential Job Function:

1. Account Management: 

  • Responsible for managing petty cash, including payments, FTL records, replenishment, cash count, and reconciliation as well the documentations required.
  • Responsible for managing all of ASB’s bank accounts, including payments, FTL records, and reconciliation as well the documentations required.

2. Documents Management: 

  • Responsible for maintaining hardcopy filling for all ASB financial documents according to ASB’s regulations.
  • Responsible for scanning all vouchers and other financial documents in compliance with ASB’s regulations.

3. Assist Field Office: 

  • Responsible for reviewing all scanned vouchers from field offices to ensure compliance with ASB’s regulations, including communicating any findings and monitoring scan voucher revisions.
  • Responsible for maintaining courier delivery for field financial reports to be reviewed by Finance Visa (FC). 
  • Collaborate with Finance Coordinator to assist in setting up field offices for opening bank accounts and petty cash, demonstrating how to manage daily payments, documentation and record bank and petty cash transactions into accounting system (FTL).

4. Data Register Management: 

  • Responsible for registering and updating the cash advances and collaborating with field finance staff to adjust and update the collaboration data cash advance register as necessary.
  • Responsible for inputting, updating the tax register, as well as compiling data from field finance staff on a monthly basis.

5. Exchange Rate Update: Responsible for updating the exchange rates for banks, and petty cash from the Yogyakarta office. 

6. Financial Reporting, Audit and Documents Compliance: 

  • Collaborate with the accountant to provide supporting documents both in soft copy and hardcopy for interim, final, government financial reporting and audits.
  • Coordinate with other finance team members to ensure ASB’s financial management is audit-ready and improve ASB’s accounting and financial management procedures where possible.

7. Capacity Building: Responsible for conducting technical support and capacity building through induction training, meetings, and workshops in collaboration with the Finance Coordinator and Finance Manager. 

8. Safety and Compliance: Comply with ASB Safety and Security guidelines, communications guidelines, Code of Conduct, SOP, Antifraud and Anticorruption, Feedback and Complaints Mechanism, PSEAH and other safeguarding policies; and actively contribute to a safe, secure and healthy working environment for all team members, partners and project participants.

9. Emergency Response Team (ERT) support: Take on supporting role in ASB’s emergency response team operations as necessary.

Qualifications /Requirements: 

  • Education: Minimum Diploma (D3) in accounting, business administration or a related field.
  • Experience: Minimum 3 years of relevant work experience in finance and accounting.
  • Knowledge: Understanding of Indonesian tax regulations.
  • Language: Proficiency in spoken and written English is an advantage.
  • Skills:
    • Ability to multi-task, work well under pressure as a team player in a multicultural environment, ability to work independently as well as in multicultural team.
    • Flexibility, especially in emergency situation.
    • Excellent problem-solving skills and ability to work with a minimum of supervision.
    • Fully computer literate and proficient in Microsoft office. 
    • Experience working in a well-recognized international NGOs is an asset
  • Travel: Ability and willingness to travel to project locations or other locations as assigned by ASB.
